UniKYS — University Quality Management System

In universities, quality management is usually something remembered when an audit approaches. Documents sit in different departments' folders, indicators in spreadsheets, CAPA records in email — and a weeks-long scramble to compile everything begins before a YÖKAK or ISO audit.

UniKYS turns that work into a system that runs continuously. The nine modules are not separate products but one structure that carries data between them: publishing a process card drops its indicators and risks into the inventory, a performance deviation becomes a CAPA, an audit finding opens a CAPA, and all of it feeds the management review. The same information is never entered twice.

The system's design principle is that rules live in the database, not the interface. Document content under approval is locked; a CAPA cannot close before its effectiveness is measured; auditor independence is enforced at database level; a management review meeting without decisions cannot be closed. Because these rules are independent of the interface, they cannot be bypassed.

On the setup side, all 203 state and foundation universities in Türkiye come preloaded from the YÖK list, and the unit tree is imported via Excel. Authorisation spans five role levels from the rectorate down to a branch office, with cross-institution isolation enforced by Row Level Security. At period end, the output of all nine modules is gathered into a single unified institutional report mapped to YÖKAK criteria and ISO clauses.
